Refund & Cancellation Policy

At Tropic Trails, we understand that travel plans may change. Our refund and cancellation policy aims to provide flexibility to our travelers while ensuring fair consideration of the operational arrangements already made for each tour.
By booking a tour with Tropic Trails, you agree to the terms outlined below.


1. Booking & Payment Terms

  • Confirmation of a tour can be done with partial payment upon discussion with our agent.

  • At least 50% of the total cost is required before the tour start date to secure all arrangements.

  • 100% payment is preferred before departure to ensure smooth coordination of hotels, transport, guides, and permits.

  • Travelers may contact our team to discuss flexible payment options prior to final confirmation.


2. Cancellation by Traveler

You may cancel your booking at any time by sending an official request (email or phone). Refunds will be processed based on the number of days remaining before the tour start date.

30 – 60 Days 50% of Tour Cost
14 – 30 Days 20% of Tour Cost
7 – 14 Days 10% of Tour Cost
Less than 7 Days No Refund (all arrangements would already be fully paid)

Once the tour is within 7 days of departure, all arrangements—such as guides, transport, permits, and accommodations—are already confirmed and paid in full. Hence, no refund can be issued.


3. Cancellation by Tropic Trails

In the unlikely event that Tropic Trails must cancel the tour for any known or unknown reasons:

  • Full refund of the amount paid will be issued.

  • We may also suggest alternative dates or rescheduling options.

  • Travelers may:

    • Accept a full refund, or

    • Save the paid amount as travel credit for rescheduled dates.


4. Force Majeure & Unforeseen Situations

(Events beyond human control – e.g., natural disasters, strikes, government restrictions)

  • Full refund will be issued for services not delivered.

  • During travel, if disruptions occur, we will prioritize safety and may suggest revised itineraries with the traveler’s consent.

  • For activities or programs that cannot be conducted due to unforeseen events, refunds or travel credits will be provided.


5. No Show / Late Arrival Policy

  • In case of flight delays or unexpected travel issues, we will try our best to adjust the plan without affecting tour duration.

  • We do not immediately forfeit bookings due to late arrival, provided we are informed at the earliest.

  • If a traveler does not show up without notice, the booking may be treated as cancelled with no refund.


6. Hotels & Meals – Third-Party Services

  • Tropic Trails does not own or operate any hotels or restaurants.

  • All meals and accommodations included in the tour are provided via third-party FSSAI-licensed establishments.

  • Costs for these services are usually included in the tour price once confirmed and may not be refundable.

  • Any additional food or services availed during the trip must be settled directly with the establishment at actuals.


7. Payment Gateway & Transaction Charges

  • Refunds will be processed for the full amount received by us.

  • However, transaction charges (usually 2–5%) may be deducted by banks or payment providers, as these fees are non-reversible and depend on their tax and processing policies.


8. Rescheduling / Date Change Policy

  • Rescheduling is allowed up to 30 days before the tour start date.

  • Tropic Trails does not charge any rescheduling fee.

  • If any third-party vendor applies additional charges for date changes, travelers will be informed and may pay the extra amount at actuals.


9. Refund Processing Time

  • Refunds are initiated within 2 working days of receiving a valid cancellation request. 

  • The estimated refund turnaround time is 3 to 7 working days. The credited amount will depend on your bank’s processing time.

  • Transaction details will be shared immediately after the refund is initiated.
